The information we collect may include your name, date of birth, contact details, Medicare information, billing details, emergency contact information, appointment history, and correspondence between you and your psychologist. We may also collect health information such as your mental health and medical history, presenting concerns, psychosocial background, medication information, risk-related information, referral documents, assessments, and clinical notes generated during sessions. Additional sensitive information may be collected where clinically relevant to provide effective psychological treatment.

If essential information is not provided, Flux Psychology may be unable to offer psychological services.

how information is collected

We collect personal information in several ways, including when you contact us by phone, email, or through the website, when you attend sessions (in person or via telehealth), when you complete intake forms or questionnaires, and when you provide information directly during assessment and treatment. Information may also be collected through automated appointment reminders and other administrative systems.

With your consent or as authorised by law, we may receive personal or health information from third parties such as referring GPs, psychiatrists, other healthcare providers, previous treating practitioners, or third-party funders. We collect only the information that is reasonably necessary for assessment, diagnosis, treatment planning, administration, or compliance with legal obligations.

Flux Psychology does not use analytics or advertising cookies on its website. Only basic functional cookies may be used to support the website's operation.

Flux Psychology collects personal information for purposes directly related to the provision of psychological services, including assessing your presenting concerns, formulating treatment plans, delivering therapy, arranging appointments, communicating with you about your care, and documenting progress in clinical records. Information may also be collected to comply with Medicare requirements, communicate with your GP or other treating professionals where appropriate, manage administrative processes, and ensure that psychological services are delivered safely and ethically.

Personal information enables the psychologist to provide informed, evidence-based care and maintain continuity of treatment.

consent

By contacting Flux Psychology, providing personal information, completing a consent form, engaging in psychological services, or using the website, you consent to the collection, use, and disclosure of your personal information as described in this Privacy Policy. You may withdraw consent at any time, although this may limit our ability to provide services.

health information

Your psychologist documents clinically relevant information during your sessions to support assessment, diagnosis, treatment planning, progress monitoring, and risk management. These clinical notes form part of your psychological record and are kept securely.

Flux Psychology retains psychological records in accordance with legislative and professional obligations. Records are retained for at least seven years after your last contact, or until you turn 25 years old if you were under 18 at the time of treatment.

Your personal information remains confidential except in circumstances where disclosure is permitted or required by law. Information may be disclosed:

  • when required by a court order or legal authority

  • when there is a serious and imminent risk to your life, health, or safety, or to the safety of another person

  • when you provide written consent for disclosure to another person or professional

  • when disclosure is required for Medicare reporting under a Mental Health Treatment Plan

  • when communicating with other treating practitioners where you have provided consent

As registered psychologists, we are required to undertake clinical supervision. Relevant material may be discussed in supervision for the purpose of improving clinical practice; however, all information is discussed in de-identified form, and supervisors are bound by strict confidentiality obligations.

Flux Psychology does not disclose information to overseas recipients unless required by law or explicitly authorised by you.

data security & storage

Flux Psychology takes reasonable steps to protect personal and health information from misuse, interference, loss, unauthorised access, modification, or disclosure. All client files are stored electronically in Halaxy, a secure practice-management platform that uses encryption and industry-standard security measures. Access to electronic records is restricted to the treating psychologist.

Email communication is conducted through Gmail, which uses industry-standard encryption. However, email is not a completely secure medium, and clients are encouraged to limit the transmission of highly sensitive information via email where possible.

Flux Psychology does not store physical client files unless necessary. All electronic records are securely stored, and information is destroyed or permanently de-identified when it is no longer required.

telehealth & online communications

Flux Psychology provides telehealth services through Coviu, a dedicated healthcare platform that offers encrypted audio and video communication and complies with national and international privacy standards, including ISO 27001 and HIPAA requirements. While all reasonable measures are taken to ensure privacy and confidentiality, telehealth services involve inherent risks associated with internet-based communication. Clients are encouraged to participate in telehealth sessions from a private, secure location.

website & cookies

The Flux Psychology website may use essential cookies to support functionality. Flux Psychology does not use tracking, behavioural, or advertising cookies and does not share browsing data with third parties. You may adjust your browser settings to block cookies, although this may affect website performance.

access & complaints

You have the right to:

  • request access to your personal information

  • request corrections if information is inaccurate or incomplete

  • raise concerns about privacy compliance
